My first piece of advice would be to arrive early before any of the crowds arrive of at least before the bulk of the crowds roll in. Scope out the main areas where you will taking photos for lighting and white balance as well as potential access issues due the impending crowds. Either note down the settings you need or as I do use a small memory card as my white balance info on it already taken by you from test shots. That way when you go to take your photos later in the day you will be setup in no time!

 

So camera settings. Most exhibition halls will have poor and random lighting. A flash gun is an absolute must. If you are taking photos of subjects that move quickly or you can potentially stumble on TV interviews etc use high speed sync flash and free off a high number of images to ensure you will get some keepers. You may want to consider a fairly low f. number and maybe even bumping up your ISO if conditions are really bad.

Unfortunately at exhibitions and shows large crowds are almost guaranteed. This makes getting the right shot pretty challenging at times. Having a lens that allows you to keep more of a distance from you subject can be beneficial as you can find a spot that helps you get less involved with the crowds. Sometimes though you need to get up close and use the advantages of our flash so you really have to stand your ground and just go for it. Be prepared for the odd idiot to bump in to you, just be committed on the shot and fire off some quick images to ensure you get the shots required.

 

The best piece of advice I can give is keep mobile, photograph anything interesting and talk to everyone. You never know what shots you will end up with!

I find that the first step in doing a successful wedding shoot comes not from a technical perspective, but from a social perspective. Most photographers worth their fees have the technical ability to capture the image. But what I’ve learned by working as a second shooter with other professionals is that not all photographers have the social skills to blend into the wedding (or other event) to capture the very unique images that sets one apart from “the rest.”

When the photographer and or their staff are so uptight and focused that they come across so serious that they are almost avoided altogether by the event goers it does not make for good looking photographs. The camera does not lie and if the subject is feeling the negative energy coming from the photographer it shows in the image captured.

One thing that I have done that I feel helps this situation is really get to know my subjects prior to their day by spending some time with them and making myself available to them in the weeks leading up their event. This allows the client to get to know me, my style, my sense of humor and my overall personality type as well as (and most important) allows me to get to know them and really understand their needs and expectations from the shoot.

With unlimited long distance, free video conferencing, instant messaging and email as well as some face to face meetings this can be done with little or no cost to the client or the photographer. This technology allows me to live and work between California & Florida and anywhere else in the world. Information can be shared in real time, ideas exchanged and a bond can be formed between client and photographer no matter where either one is. That was not possible a few years back.

By taking advantage of the technology that is available to us now I have found that my photography has taken on a more personal aspect. I feel a bond with my subjects that I didn’t a few years back and I’m glad to say that some have become friends and have turned into more referals to my business.

Moving forward I urge all of my colleagues to reach out to your clients and get to know them better through the available technology and find out what they really want from the images you will capture for them. I think you will find as I have that the images will come out “warmer” and show just that little bit more emotion that will set you apart from the rest!

Lightroom simplifies the burden of organizing event photos through its keywording and file renaming options. The first challenge, after importing the files into a new Lightroom catalog, is to arrange them in order. You can make thousands of pix to sort them as quickly as possible. The nature of event photography is that you shoot when there’s an interesting meet-up between people or a snap of great light. Sometimes the sequence of events may not be photographed in any specific order. There may be lot of repetitions in shooting. Some moments were photographed six or seven times throughout the day. So, you should come up with a way to gather photos spread throughout the shoot and organize them in a way to facilitate searches in the future.

Make sure to keyword each photo with a single keyword. Advanced keywording is essential to those who license their images as stock photography. Keywords are typically how photo editors search for images. Filter the photos by keyword to sort out a specific group, give a descriptive file name to each image in the keyword group, regroup all the photos in the catalog by sorting on their file names, add detailed keywords to facilitate other searches, use colored labels to mark individual frames that have a specific person, add keywords to these special selections.

Speaking about the lighting factor for photography, go for flash rather than continuous. You want 3 minimum at around 250 W/s which would be fine for a small space. Minimum could be none if you are setting your studio where you could have wonderful natural light during the day though. You need to watch the white balance all the time. You’ll need modifiers like softboxes and umbrellas as you’ll want soft light at a 1:1 or 2:1 keyfill ratio for baby portraits. Reflectors will come in handy too & you’ll need to think about a triggering system. It is better to have radio triggers (RF602′s) as you won’t want wires trailing everywhere. If you rent a flash, be sure to use some sort of modifier such as a Stofen or Gary Fong dome. You need a faster lens. You can get good results with a flash if you take the time to learn how to use it. Adjust your ISO to a higher number so you can increase your shutter speed. Get an external flash with a diffuser so the light will not be so strong. Ideally get one you can put where you want as well when shooting. The18-135mm lens is most preferable just because of the wide angle.
